Nobody got laid off. The spreadsheet just stopped needing a human
In a real estate agency, the most expensive people spend half the day on copy-paste and reminders. Here is what an AI agent and a CRM can take off their hands, and what they will never do.

Your best closer brings in more deals than anyone else in the office. And spends three hours a day moving details out of chat threads into a spreadsheet. The agency's problem is not that it has too many people.
Three hours in a spreadsheet
Look at an ordinary Tuesday. One person answers "how much is it" for the twentieth time before lunch. Another copies a name and a phone number from a messenger into a spreadsheet, then copies the same row into a second spreadsheet for the report.
Meanwhile the team lead works the group chat, asking whether anyone called yesterday's enquiries back. None of this moves a deal forward. All of it has to happen. So it gets done by the people you pay to negotiate.
10:40 on a Sunday
Someone writes at 10:40 on a Sunday night: is this apartment still available. The reply goes out Monday at 9:15. Between those two messages sit ten and a half hours, and the whole time they are scrolling through other listings.
One of our clients, a cosmetology business, collected 94 enquiries in two weeks. Twenty-one of those conversations came in at night or over the weekend. That is not a separate audience. Same people, writing when they finally have a free moment.
First line
The AI agent takes the beginning of the conversation. Instagram, WhatsApp, Telegram, Viber, the form and the chat on your site. It answers in seconds, around the clock, in the client's language, which it works out on its own. It talks through services and prices, asks one or two questions at a time, and filters out the people who wanted something else entirely.
Then it collects the contact and sends the manager not a line saying "Ivan, interested" but a finished enquiry, into the dashboard, Telegram or email:
- what the person is looking for and at what budget;
- property details and timing;
- name, phone, a convenient time to call;
- buying, renting, or still just looking around.
That enquiry lands on the CRM kanban board straight away, not in somebody's private inbox. On the IRSIP project in the UK we connected the ad forms to the CRM, and leads started appearing in the system in seconds instead of hours. Nobody retypes them any more.
The CRM holds the rest. A client card with history and notes, a follow-up task after a viewing, a reminder for whoever ran it. The team lead opens the lead report instead of assembling the picture out of questions in a group chat. Data sits in the EU, and every business gets its own isolated environment.
The AI agent does not close the deal. It makes sure that by the time the manager picks up the phone, they already know who they are calling and why.
What it will not do
It will not run a viewing. It will not hear, in a pause on the line, that the delay is not about the price but about a partner who dislikes the neighbourhood. It will not haggle, and it will not take a decision that needs a person.
And it gets things wrong when the knowledge base is left empty. Then it answers politely and beside the point. You set it up in plain text, no developers required, but somebody has to write that text: you, or us together with you.
One more inconvenient condition. The modules live inside our site, because that is where the forms, the chat widget, lead capture and analytics sit. The site is 390 € one-off, live in seven days.That is a studio condition.
What is left for people
Viewings, negotiations, the hard objections, walking a deal through to signature. The work you hired these people for in the first place.
The AI agent is 90 € a month, the CRM is 100 €, together 190 €. It is not a replacement for a salary and should not be one. It is a first line and order in your enquiries.
Nobody disappears from the agency after launch. It is just that on Monday morning the list of enquiries is already there, instead of being reconstructed out of four messengers.
